Support Services

Reports and Website

Objectives

• produce information for progress reports, annual reports and the website as fundraising tools

Seven hundred copies of the Annual Report and 1000 copies of Uxolo newsletters were delivered. Progress Reports for the year and Quarterly Reports were produced. Seven web pages were updated and four new web pages developed.

Administration

Objectives

• provide and implement an efficient administration service to all staff

• ensure d-Drive filing and central filing systems are effective, user friendly and clear

• ensure communication systems are effective

• ensure maintenance and repairs of all assets, equipment, premises, QPC vehicles etc.

• support staff with general IT troubleshooting problems

• assist staff with office space and access to the Centre

After an assessment of computer needs by staff, new equipment was bought and installed. New computers and an ADSL line together with software upgrades have produced a more efficient IT service. A new telephone management system was installed to assist with the monitoring of telephone usage, and policies have been drafted regarding reimbursement for use of cell phones and the use of QPC telephones for private calls.

The allocation and cleaning of offices enabled project staff to be positioned together to work more effectively and efficiently, and the electric fence was repaired.

International Volunteers/Interns Support

Objectives

• support international volunteers (including interns and exchange staff)

• plan carefully for the times that international volunteers are with QPC

• establish a clear structure for volunteers

• find needs within QPC to be addressed by volunteers

A policy on volunteer and intern placement and exchange was formulated and put onto our website. Placement agencies were informed of the new intake policy regarding QPC's needs for skills transfer through volunteer/internship placements. The project leader monitored the progress of the medium-term volunteers and interns at the Centre.

Resources

Objectives

• provide effective information support to QPC projects and profile QPC work

Numerous books, journals, e-Newsletters and videos were catalogued and displayed. Our books, stickers and T-shirts sold well, and many additional booklets ordered.

Information on a wide range of topics relating to people, statistics, programmes and policies were sourced for staff. Information about possible funders and possible advertising possibilities for the Centre was found on the internet, and various other topics such as human rights for children were sourced.
